Write, send, track and sign proposals in one place
Proposal software is a tool for writing, sending, tracking and signing business proposals in one place, instead of building each one in Word, exporting a PDF and emailing it as an attachment. Proposal management software keeps your templates, pricing and brand assets together, shows you when a client opens the document and collects a legally recognised electronic signature at the end. Proposal Expert is sales proposal software for agencies, consultants and B2B sales teams that send several proposals a week and want every one of them to look consistent. You can start on the free plan without a credit card.
Proposal software creates a proposal from a template with a fixed structure, applies your logo, colours and fonts from a brand kit, drafts the sections with AI from your call notes or a written brief, and scores each section before you send it, so the document looks consistent and reads as if it was written for this client. That first look carries more weight than most writers expect. Readers form a first impression of a document in about 50 milliseconds (Lindgaard et al., 2006), and in a study with over 2,500 participants, 46.1 per cent of the comments people made about credibility were about the design look rather than the content (Fogg et al., 2003). A proposal therefore starts with a template that already has the right structure: context, goals, approach, timeline, pricing and terms. Proposal Expert ships with templates for agencies, consultants and software teams, and your brand kit applies your logo, colours and fonts to every one of them. When you have notes from a call or a written brief, paste them into the AI assistant and it drafts the sections for you in the language you choose, using the words of this client rather than a generic pitch. That personalisation pays: McKinsey found that companies that excel at it generate 40 per cent more revenue than average performers (Arora et al., 2021). Each section then gets an AI score with concrete suggestions, so you see where the problem statement is vague or where the pricing needs a line of explanation before anything goes out. The editor works in the browser, supports sixteen languages for the proposal text itself and lets colleagues comment on a draft before it is sent. You keep full control over the final wording. The AI proposal software drafts, you decide.
Proposal software tracks a proposal by sending it as a link instead of a PDF attachment, so it records when the client opens the document, how long they spend on each section and whether they forward it to a colleague, and turns those signals into an engagement score you can act on. A link also opens on any screen, stays current when you make a change and tells you what happens after you press send. Proposal Expert summarises the opens, time per section and forwards as one engagement score per proposal. That changes how you follow up. A client who has read the pricing page three times gets a different call from one who has not opened the document yet. The stakes of that follow-up are higher than they look: at least 40 per cent of B2B pipeline deals end in no decision at all (Corporate Visions, 2022). And because a B2B purchase typically involves 6 to 10 stakeholders (Gartner, 2023), the forward signal tells you when the proposal has reached the people who were not in the room. Clients can leave comments directly on a section, so questions land in the proposal instead of in a scattered email thread. You can protect a shared link with a password and set an expiry date. Reminders go out automatically on the schedule you choose, in the language of the recipient.
Yes. An e-signature collected through proposal software such as Proposal Expert is a Simple Electronic Signature (SES) under the eIDAS framework, Regulation (EU) 910/2014, and Article 25 of that regulation states that a signature may not be denied legal effect solely because it is electronic, which applies in every EU member state (European Parliament and Council, 2014). When the client agrees, they sign in the browser. The signer confirms their identity with a one-time code sent to their email address, and each signature is recorded with a timestamp, IP address, the document version that was signed and the consent given, all kept in an audit trail you can export as evidence. We do not claim more than that. For most service agreements between businesses, SES with an audit trail is what both parties rely on. If your contracts require a qualified signature, check that requirement before you send. Signed proposals are locked, so the signed version cannot change afterwards.
Proposal software keeps the CRM in sync by connecting to HubSpot, Salesforce, Pipedrive or Monday over OAuth, so you can start a proposal from a deal, pull in the contact and company details, and have the status and the accepted amount written back to the deal when the proposal is sent, viewed or signed. A proposal rarely lives on its own. It belongs to a deal, and the sales team wants to see its status without opening another tool. Because the connection uses OAuth, no passwords are shared and access can be revoked at any time. Writing the accepted amount back to the deal value keeps pipeline reports accurate without manual updates. Slack and Microsoft Teams notifications tell the team when a client opens or signs. Analytics show win rate, average turnaround and which templates close, per team member if you want. Your data is hosted in the EU, encrypted in transit with TLS 1.2 or higher and encrypted at rest.
